How posting documents work

Where a posting's paperwork comes from, when it's filled in again, and who gets to see each kind of document.

You don't build a posting's paperwork by hand. Vonda fills in your agency's own PDF forms with the posting's details and keeps them up to date as the posting changes. This page explains how that works, so you know what you'll find on a posting's Documents card.

Where the documents come from

An agency admin uploads your blank forms in Settings → Documents (see Upload your document templates). There are two kinds:

  • Co-signer documents, such as the indemnity agreement. The co-signer reviews these on their bail page and signs them electronically.
  • Facility documents, the paperwork the jail needs. The jail reads these on the posting's Appear page once you send it. The co-signer never sees them.

For each form, the admin marks where each detail goes: the defendant's name, the bond number, the bail amount, the agent's license, and so on (see Place merge fields on a template).

One copy per bond

A posting can hold several bonds, and each bond is its own court instrument. So Vonda fills in every form once per bond:

  • Each facility document gets one copy per bond.
  • Each co-signer document gets one copy per bond for each co-signer, because every co-signer signs their own agreement.

A posting with two bonds and two co-signers, for example, has four copies of the indemnity agreement. If a detail isn't on file yet, the document prints N/A in its place.

The one exception is a payment plan agreement: a co-signer template your agency switched to plan-only. A plan is one debt, the whole amount due, so it's generated once per posting, with no bond number, one copy for each co-signer. It's only there while the posting has a payment plan offered or running, and it's dropped if the plan is withdrawn or the co-signer pays in full instead. See Replace, download or delete a template.

Always up to date

The documents exist from the moment a posting is created, and Vonda fills them in again every time something on the posting changes: a corrected field, a new bail amount, a payment plan's terms, a payment, a signature. You never have to press a button to refresh them.

While Vonda is redoing them, the Documents card shows Updating in its corner. The files on screen are the previous version until the new ones are ready. You can't send documents for signature while they're updating. Wait a moment and try again.

When the co-signers sign, the documents are filled in once more, and each co-signer's copies now carry their typed name as a signature.

What's on the Documents card

The card groups the posting's files into up to three sections:

SectionWhat's in itWho else sees it
Co-signerThe co-signer documents, plus any co-signer file you attachedThe co-signers, on their bail page. Each one sees their own copies.
FacilityThe facility documents, plus any facility file you attachedThe jail, on the posting's Appear page
InternalFiles you attached for your agency's own recordsNobody outside your agency

When a posting has more than one bond, each section is split under a bond number badge, so you can tell the copies apart. Co-signer copies also carry the co-signer's name.

The badge in the card's corner reads Signed once the primary co-signer has signed, and Unsigned before that.

Payment receipts and payment proof aren't on this card. They live on the Payment card. See Find a payment's receipt and proof.
