Statuses and the submission record

For facility staff. What each status, banner and milestone on an Appear submission means, and what you can do in each.

Every submission shows a status at the top of the page and a banner on the right that explains it. Below the banner, the Submission record lists what has happened to the submission since it was sent to you.

The Next step card only appears while there's something for you to do: on a Valid or Accepted submission.

Once you've accepted a submission, you can't reject it. Accepting is your facility's definitive answer.

After a rejection

When you reject a submission, the agency fixes it and sends it again. While they work on it, the page shows Being updated by the agency. When they send it again, it goes back to Valid at the same link, and you review it like a new submission. If the agency sends by email, you get a new email.

The submission record

The Submission record answers one question: has somebody already handled this? Each milestone shows the time it happened.

MilestoneWhat it means
Sent to the facilityWhen the agency sent the submission to you.
Accepted by the facilityWhen your facility accepted it.
Waiting on your answerNobody at your facility has accepted or rejected it yet.
Release not yet recordedYour facility has accepted it, but the release hasn't been recorded yet.
Defendant releasedWhen the defendant's release was recorded, whether by your facility or by the agency.
Rejected by the facilityWhen your facility rejected it, with the reason.

Every act is recorded with your facility's name and a timestamp. Appear never records which person at your facility did it.
