Posting statuses

Every status a posting can be in, what its badge says, and whose move it is.

A posting's badge tells you whose move it is, not just how far along the job is. The colors follow one rule:

  • Amber is your move. The badge names what you need to do, like Start Review or Send to Facility.
  • Blue means you're waiting on someone else: the co-signer, the facility, or a court date. The badge starts with Awaiting or says what's in progress.
  • Green is only for Released.
  • Red means something was rejected: a payment or a facility submission.
  • Grey is a brand-new posting nobody has picked up yet.

Every badge also has its own icon, so you don't have to rely on color.

From intake to release

BadgeWhat it meansWhose move
NewA co-signer submitted a bail request online and nobody has picked it up yet.Any agent: click Start Review to take it.
Start ReviewAn admin assigned the posting to an agent, but the review hasn't started. The assigned agent: click Start Review.
ReviewingAn agent is working the file: checking details, pricing the bonds. The agent: Approve, Request Info or Request Co-signer.
Awaiting Co-signerYou asked for another co-signer. The primary co-signer has to invite someone, and that person has to fill in their details. The co-signers. The posting goes back to Reviewing by itself once the new co-signer joins.
Awaiting InfoYou asked a co-signer for missing information.That co-signer.
Review New InfoThe co-signer sent the information you asked for.The agent: check it, then Approve or Request More Info.
Awaiting PaymentYou approved the posting and the price is locked. The primary co-signer has been sent the amount due. If a payment plan is on offer, they can pay its down payment instead. The primary co-signer pays. If they pay you in person, use Record Payment.
Review Plan RequestThe primary co-signer asked to pay through a payment plan. Nothing can be paid until it's answered. The agent: Approve Plan with terms, or Decline Plan with a reason. Either way the posting goes back to Awaiting Payment. The co-signer can also withdraw the request.
Processing PaymentThe co-signer is paying online and the payment hasn't settled yet.Nobody. It settles by itself. You can Cancel Payment if it's stuck.
Verify PaymentThe co-signer uploaded proof of a payment, or of a payment plan's down payment. The agent: check the proof, then Confirm Payment or Reject Payment.
Payment RejectedYou rejected the co-signer's payment proof, or their online payment was declined. The primary co-signer resubmits their proof or pays online again. If they pay you in person instead, use Record Payment.
Review DocumentsThe payment is in, in full or as a payment plan's down payment. The documents are ready for you to check. The agent: Send for Signature.
Awaiting SignatureThe documents are out for signature. The co-signers sign on their bail page. The posting moves on when the last one signs.
Send to FacilityEveryone has signed. The agent: Send via email, or Mark as Sent for a facility you fax or visit in person.
Awaiting ApprovalThe paperwork is at the facility, which hasn't answered yet.The facility accepts or rejects on Appear. If the defendant is already out, use Mark Released.
Awaiting ReleaseThe facility accepted the submission. The defendant is still inside. The facility records the release on Appear. If it doesn't, use Mark Released.
Facility RejectedThe facility rejected the submission. The status card shows its reason. The agent: Correct & resend. Everyone signs again before it goes back to the facility.

After release

Once the defendant is out, the posting counts toward your liability until you exonerate it. Its badge says what's left to do before that:

BadgeWhat it meansWhose move
ReleasedThe defendant is out.Add the defendant's court dates.
Awaiting Court DateAt least one court date is still ahead.Nobody until the hearing.
Mark AttendanceEvery hearing is behind the defendant, but at least one hasn't been marked attended or missed. The agent marks attendance.
ExonerateEvery hearing is behind the defendant and marked. A released posting with no court dates recorded shows this too.The agent: add any missing court dates, then Exonerate.
ExoneratedThe court obligations are over. The posting no longer counts toward your liability. It's shown as a grey badge with a green shield.Nobody. This is the end of the posting.

A released posting on a payment plan can also show:

BadgeWhat it meansWhose move
Verify PaymentThe co-signer uploaded proof of an installment or of the remaining balance. The agent: Confirm or Reject it on the Payment card.
Payment OverdueAn installment is still unpaid after its due date. The agent: follow up with the co-signer, or Record Payment on the Payment card if they paid in person.

These two outrank the court-date badges, since the plan needs you whatever the hearings say. See Collect installments and payoffs.

Where you see these badges:

  • On the posting itself, you see Awaiting Court Date, Mark Attendance or Exonerate, or a payment plan's Verify Payment or Payment Overdue.
  • On the Dashboard, released postings only show up once they need you, as Mark Attendance, Exonerate, Verify Payment or Payment Overdue in the Waiting for agent lane.
  • On the Postings list, a released posting shows Awaiting Court Date while a hearing is ahead, and Released otherwise.

Closed and Archived

Closed and Archived aren't statuses. They're extra badges an admin can put on a posting, and they sit beside its status:

  • Closed means the job ended without a release, for example because the family went with another agency. It's only possible before a payment is in. The co-signers are told when a posting is closed and when it's reopened.
  • Archived files a posting away. It's silent: nobody is notified.

While a posting is closed or archived, nothing on it can change. When an admin reopens or unarchives it, it picks up at the same status it was in.

Other badges on a posting

  • Web intake or Manual: how the posting started. See Three ways a posting starts.
  • The assigned agent's picture, or Unassigned.
  • On the Payment card, Unpaid, On plan or Paid. On plan means the posting is paid through a payment plan that still has principal owed.
